Refunds, Transfers & Cancellation Policy

Annually we carry out a Terms & Conditions update for High Aerial Studio and now the FlighFit Academy are reviewed. These are available on the website to read in full HERE. They have very much remained the same. I just wanted to draw your attention to the T&C’s regarding cancellations, transfers and refunds with regards to our 8-week courses, 4-week block bookings, class pass (new option) and PAYG sessions at High Aerial Studio. These rules have been in place for some time and are detailed in the terms that you click to confirm reading at the point of purchase, yet we have recently had quite a lot of requests recently against these terms.

Please take a read to refresh your mind. We are also aware that those on memberships now do not often check-out via the booking system to read any terms, but they do still apply for any adhoc purchases or to claim catch-up places.

8-Week Courses

Refunds
Refunds are available up to 3 days (72 hours) prior to the course start date.
After this time, refunds are not available; however, the amount paid may be used as credit toward a future course.
All refunds are subject to a 10% processing fee to cover booking and payment system charges already incurred.

Transfers
Course transfers may be requested at any time during the current course period, subject to availability.

Cancellations
Cancellations must be made at least 72 hours before the course start date to qualify for a refund.

If High Aerial Studio cancels a class or course, you will receive a full refund.

Individual Class Cancellations

To allow fair notice and class planning, the following cancellation cut-off times apply:

  • Evening Classes: Cancellation must be made before 8:00am on the day of the class
  • Morning Classes: Cancellation must be made before 9:00pm the evening prior

Cancellations made before these cut-off times will be eligible for a transfer or, for course participants, a catch-up class.

Cancellations made after 8:00am for evening classes or after 9:00pm for morning classes will not be eligible for a refund, transfer, or credit.

4-Week Block Bookings

  • Block bookings are offered at a discounted rate and are intended for use over four consecutive weeks
  • You may transfer one class only within the block, subject to availability
  • If you are unsure of your ability to attend weekly, we recommend booking PAYG classes or purchasing a class pass instead

Class Passes

All class passes are valid for 3 months from the date of purchase.

Additional Information

Many studios operate strict 24–48 hour cancellation policies with no refunds. At High Aerial Studio, we aim to be as flexible as possible and consider our same-day and night-before cancellation options to be very generous.

Please respect these policies and do not ask instructors or administrative staff to make exceptions, as this places them in an uncomfortable position. Continued requests for exceptions may result in the need to adopt stricter industry-standard policies.

Administration Fees

All refunds—unless the cancellation is initiated by High Aerial Studio—are subject to a 10% administration fee to cover non-recoverable booking and payment processing costs.

HIGH MEMBERSHIPS

All memberships, Earth, Moon and Sun are for a minimum 6-month commitment at each renewal.

Once committed to the 6-month term, you will have 6-months of recurring payments set up and actioned to be taken on the 5th of the month for the duration of the term.

Your 6-month commitment covers you for 3 full 8 week courses, regardless of whether there are shutdown weeks, you are entitled to the 3-course length duration.

Membership Commitment Terms

High Aerial Studio memberships are offered at discounted rates in exchange for a minimum 6-month commitment.
Members receive reduced course fees and additional benefits (including half-price or free classes depending on membership level). When fully utilised, these benefits provide significant savings.

Early Cancellation of Membership

Early cancellation of a 6-month membership is only permitted under the following circumstances:

Medical Reasons

Membership may be cancelled if a member is medically unable to continue training due to illness, injury, or pregnancy.
A valid doctor’s note or medical certificate confirming inability to participate is required.
Where appropriate, a temporary membership freeze may be offered instead of cancellation.

Relocation

Membership may be cancelled if a member permanently relocates outside a reasonable travelling distance from the studio (25 miles or more).
Proof of address change, such as a tenancy agreement, utility bill, or employer confirmation, must be provided.

Exceptional Circumstances

In rare cases, significant unforeseen life changes may be considered (for example redundancy or major caring responsibilities).
These requests will be reviewed on a case-by-case basis at the discretion of High Aerial Studio management.

Studio-Initiated Changes

Members will be permitted to cancel without penalty if High Aerial Studio makes substantial changes that prevent reasonable use of the membership, such as long-term closure or removal of core classes included in the membership agreement.

Non-Qualifying Reasons for Cancellation

The following are not considered valid grounds for early cancellation:

  • Change of mind
  • Lack of time or availability
  • Holidays or travel
  • Minor or short-term injuries
  • Financial inconvenience
  • Not enjoying or no longer wishing to attend classes

These factors are considered part of the normal commitment agreed to when joining at a discounted rate.

Alternatives to Cancellation

Where possible, the following options may be offered instead of cancellation:

  • Temporary membership freeze for an agreed period (if a course withing the membership has started it must be committed to)
  • Transfer of membership to another person (subject to approval)
  • Downgrade to a lower membership level
  • Rescheduling of classes where appropriate

Early Exit Without Valid Grounds

If a member wishes to leave their commitment without meeting the above criteria, early termination may be permitted subject to one of the following:

  • Payment of an early exit fee equivalent to the remaining time of an 8-week course. i.e. if you want to cancel in week 2 of the 3rd month (2nd course), you must payout the 4th month to cover the full cost of a course that somebody else could not purchase

Approval Process

All requests for early cancellation must be submitted in writing and supported by appropriate documentation.
